Invoicing for people who bill their time
The month is over.
The bill is already added up.
It is the first of the month. You have hours in one place, receipts in another, and a client from August who still has not paid. KeptInFlow builds the bill from the hours you tracked, puts the receipts on it, and tells you which bills are late and what to send about them.
Every bill, client and payment lives in a folder on your PC. Nothing is metered, so a tenth client costs the same as the first.
If Windows SmartScreen asks about this new release, click More info → Run anyway. The installer is code-signed and verified.
- Booking page and staging site $665.00 7 h at $95 an hour
- Reminder emails and the weekly check-in $427.50 4.5 h at $95 an hour
- Kingsway Print, waiting room signage $160.88 Cost, receipt attached
- Northgate Rail, round-trip fare to the practice $41.20 Cost, receipt attached
Pick a client and the dates. The hours are read from your timesheet, so nothing is retyped.
Hours into a bill
From the timesheet
to a PDF in one sitting.
The hours are already on your timesheet, drafted from your day or typed in by you. A bill is those hours for one client and one stretch of dates, priced at their rate, with your details at the top and how to pay at the bottom.
Out the door three ways
Save the bill as a PDF, print it from the Windows print dialog, or open an email in your own mail program with the PDF already attached. Nothing is sent until you press send.
An hour goes on one bill
Billed hours lock on the timesheet. Pick hours that are already on another bill and it names that bill before you make a second one. Cancel a bill and its hours come back.
Every line can answer a question
With Screen Memory on, each line of a bill says what was on screen while those hours ran, and opens onto the screens themselves. You choose whether those pictures go on the PDF, per bill or per client.
Bills with no hours behind them
A retainer, a flat fee, a setup charge. Type the lines yourself. Tick Repeat this and it comes back every week, month, quarter or year, drafted on its own.
The money you earned and never asked for
Every tracked hour that is not on a bill yet, added up by client and split by how old it is, with a button straight to the bill you should make first.
Receipts that ride along
Drop a receipt photo or PDF on Costs, or take the picture with your phone. It reads the shop, the date, the total and the tax, and the cost goes on that client's next bill, with a markup if you add one.
The part after you send it
Know who owes you,
and what to say to them.
Sending the bill is the easy half. The app keeps track of what is still out, notices when a bill is late, and drafts the note you would rather not write.
Reminders that get firmer, politely
A late bill offers a reminder that opens in your mail program with the bill attached. The first is friendly. The second mentions when you last wrote. The third asks when they expect to pay.
A late bill tells you on its own
While the app sits in the tray, a small note names the client, the money and how many days late it is. One note a week per bill, and one note however many are late. You can turn it off.
Part payments, written down honestly
Type the amount that arrived and the bill shows what is still owed. It marks itself paid once the last of the money is in, and the total you are owed drops to match.
A pay button, from your own accounts
Paste a payment link (Stripe, PayPal, Square, any link) once and every bill carries it. Or connect your own Stripe account and Send with Stripe emails the bill with a page your client can pay on.
A quote that becomes the bill
Send a price and how long it stands. When the client says yes, the quote becomes a bill in one step, for the number you quoted. A quote with no answer after a week says so and offers a chase.
Next month, without setting it up
Bill again starts a new bill on an old one's client, terms and notes, dated to the period that follows it. The hours are read fresh from the timesheet.
What is late, what is part paid, and what is ready to go out, in one list.
Everything about one client
One page per client.
The bill is only as good as what you know about the person paying it. Each client gets a page with their hours, their money, and the things you would otherwise keep in your head.
Their hours and their money, together
Twelve weeks of hours, what you billed, what is waiting and what was never billed. Their costs and the files you filed for them sit on the same page.
What to remember about them
A note at the top of their page for what no number holds. Always CC their bookkeeper. They question anything over six hours. The rate goes up in April.
The calls where they came up
Recorded calls that mention the client, newest first, each with the line their name came up in. Lift a line someone said straight into the note at the top.
The Friday email, drafted
Turn a week of their hours and call summaries into an email you can edit, then copy it into your mail program.
Two rows for one client become one
The same company typed twice? Fold one into the other and the hours, costs and bills follow the row you kept.
Your hours, into Clio
Lawyers can export time in Clio Manage's import format. Match your matter numbers, preview the file, and keep each entry's rate and billable status. Time already invoiced is left out.
Side by side
Next to a billing subscription.
Most invoicing tools are a monthly subscription on someone else's server. Here is where this sits next to three well-known ones.
Each tool's cheapest plan that invoices for one person, from its own pricing page. Prices checked September 2026. Check them yourself; they move.
| FreshBooks | Wave | Zoho Invoice | KeptInFlow | |
|---|---|---|---|---|
| Price | Lite is $23 a month, billed monthly, after an intro offer. It invoices up to 5 clients | Starter is free. Pro is $19 a month, billed monthly | The free plan is $0, for up to 500 invoices a year | $59 once for the first 100 buyers, then $79, then $99 |
| Where the hours come from | A timer you start, then pulled onto the invoice | Typed onto the invoice as a line, or brought in from a separate time tracker | A timer or timesheet you fill in, then added to the invoice | Your timesheet, which can draft each day from your screen |
| Where your bills live | In your FreshBooks account, on their servers | In your Wave account, on their servers | In your Zoho account, on their servers | In a folder on your PC. There is no account |
| Getting paid online | Cards, bank transfer, Apple Pay and Google Pay, through FreshBooks | Card or bank payment through Wave, with a fee on each payment | Your own Stripe, PayPal or other gateway. Zoho adds no fee | Your own payment link, or your own Stripe account. No one in the middle |
The trade is real, so here it is. A hosted tool can send reminders by itself while your computer is off; here a reminder is an email you send from your own mail program. Reading a receipt uses whichever AI you set up for the words it finds, and falls back to a plain read of the picture without one. Pay-online through Stripe needs a Stripe account of your own.
The honest version
What it does not do.
You are deciding where your billing lives. These are the things you would find missing, so you can decide with them in front of you.
- No QuickBooks or Xero connection. Hours export as a CSV, or in Clio Manage's format. Nothing syncs to an accounting package.
- No team billing. It is one person's hours and bills on one person's PC. There is no manager view and no approving someone else's time.
- No time tracking on your phone. It runs on Windows 10 and 11. Your phone can send receipt photos and files to the PC, but hours are only tracked on the computer.
- No client portal. Your client gets a PDF, an email, or a Stripe page. There is no login for them.

AI that works the moment you subscribe. Or use your own AI key, or the free on-device model.
There are three ways to run the AI. The free on-device model answers on your own PC and costs nothing to run; it is smaller and slower than a cloud model. With your own AI key you pay the AI company directly for what you use. The $12/month AI plan is for people who want AI to just work: no key and nothing to set up, one bill, 5,000 fast AI actions a month, 1,200 minutes of cloud dictation, and every Pro feature included while it is active. On-device dictation and transcription are unlimited with Pro or the AI plan.
Before you ask
Questions, answered.
Do I have to track my hours with KeptInFlow to use the bills?
A bill from hours reads them from the KeptInFlow timesheet. You can type hours in by hand, draft them from your day, or bring them over from Harvest's CSV export. A fixed-amount bill needs no hours at all.
How does Send with Stripe work, and who sees my money?
You make a restricted key in your own Stripe account and paste it in once. Send with Stripe then creates the invoice in your account, Stripe emails it to your client, and the money goes to you. The key stays in the Windows credential store on your PC. KeptInFlow runs no server in between.
Can my client pay online if I do not use Stripe?
Yes. Paste any payment link, from PayPal, Square or anywhere else, in your business details and every bill carries a Pay online button, on the PDF and in the app. Your bank details work too.
Does it send reminders on its own?
It tells you when a bill is late and drafts the reminder, with the bill attached, in your own mail program. You press send. That way nothing goes to a client you did not read first.
Can I bill in a currency other than dollars?
Yes. Each client carries a currency, and the bill prints its mark. When a mark could mean more than one currency, like $, Send with Stripe asks which one you mean for that client.
I am a lawyer on Clio. Does this replace it?
No. It gets your time into Clio. Export as Clio Manage writes the file Clio imports, with your matter numbers, each entry's rate and whether it is billable. Time you already invoiced is left out.
Bill this month from the hours you already have.
